Moving your Office? Sounds stressful but it can be pain free if you plan carefully and attend to the details.

Now is the time to appoint a move coordinator. This person should be given the authority to organize the entire relocation. Their responsibilities may include

  • Selection of the seasoned and professional moving company.
  • Coordinating change of address on all forms, including, financial services, insurance carriers, credit card companies and suppliers.
  • Provide blueprints to the moving company and work with Trowbridge to develop a master plan showing layout and placement of furniture, fixtures, and contents, floor by floor, department by department.
  • Notify utility and services companies of connection and disconnection dates.
  • Installation of telephone system and schedule training time before the move to familiarize employees with the operation.
  • Communicating to employees their roles during the move.
  • Working with designers and decorators to make sure the new office space is finished before moving day.
  • Coordinating delivery with new furniture and fixture suppliers.
  • Plan for slip time. Factors beyond your contrrol will come up that push deadlines back.
  • Practice a backup retrival of the computer system before the move.
  • Review all software licenses and warranties.
  • Establish a firm date before the relocation when all new office assignments must be completed.
  • Be prepared to provide temporary displaced employees with dial-up access to the network or internet.
  • Remember Americans with Disabilies Act.
  • Freeze all requests for changes for 30 days after the move-in. Many times the individual who requested a change will adapt to his or her new work area.
  • Expect the unexpected.
